Transitioning from one CRM to another CRM

OBJECTIVES: To provide a basic understanding of what you should look for when moving from one supported CRM to another.

When transitioning from one supported CRM to another, there are a few guidelines to keep in mind when making the change.
  • Make a copy of all lists from your initial CRM in Act-On to preserve the lead score and Act-On Activity History. In some cases, the original list may not automatically be deleted when connecting to the new CRM. Therefore, you can just keep those lists in an archive folder. It's recommended to make copies just in case (For instance, going from one Salesforce instance to another, the lists are deleted. Going from NetSuite to any other CRM will most likely NOT delete those lists but it is better to be safe than sorry).
  • Screen capture any forms that are pushing to your initial CRM so that you can push them to the new CRM once connected.
  • Identify any lists or segments created off of your CRM lists that are source lists for automated programs or scheduled message sends. These will need to be updated once you connect to the new CRM or org.
  • Remove all scheduled syncs prior to disconnecting the CRM Connector.
  • Ensure standard field names are consistent and updated after connecting.
  • Verify the list maintenance programs (LMP) are updating the new CRM lead score field. Remember, Act-On creates these fields in both NetSuite and Sugar. They are both called Act-On Lead score but it doesn’t hurt to re-associate it in the List Maintenance Program. Make sure to verify this lead score field is being pushed to the new CRM.
  • Change the new Sales Prospector list
  • Identify the Owner Name and Owner Email in the new lists. Sugar uses the ‘Assigned To’ Field for hot prospects.
  • After you have established the new connector, walk through the Integration Guide for your CRM in its entirety even if some of the elements have already been completed. Making copies of the lists, noting the Act-On forms, and removing the syncs for the old CRM are the items that are not discussed in the integration guide and should be done prior to disconnecting.
